Items
Every store has menu Items and Sizes for each offering on the menu. Each Item Size for each store is completely configurable independent of the other store's settings for the same Item Size. Each Size for the same Item at the same store is also configured independent of the other sizes for that Item. When first creating the Item Sizes many similarities are populated to all the stores, but they can still be set independently. Make sure that you have Admin open to the correct store, to view, add, or edit Item Sizes.
New Item
On rare occasions the MrJims.Pizza Executive Director will request a new Item to be added to the menu. A new Item is populated throughout JOES to all stores. It is not available at all stores and there are no Sizes for the Item. A Size must be added to have the Item in use. Further, the Size must be configured as needed and set to In-Stock. Click the New Item button.
- Item Name - The Item name that will appear throughout JOES. This is the name users will see in POS, Online, all Menus, and all reports.
- Item Abbreviation - The abbreviation chose by the E.D.
- Item Description - The description of the item choses by the E.D.
- Item Category - Select the Category appropriate for the Item.
- Sort Order - This controls where the Item appears with in the Category. Sometimes you must change the sort order for all the items in the Category so that they display as requested by the E.D.
Item Categories
There are currently 21 Item categories. Clicking on the “Configure Item Categories” button opens a window to list of categories. Every item is assigned to a Category. Categories are universal. Any changes here affect every store's POS, Online, and Menu displays. It does not matter what store the user is accessing any change to a Category is changed everywhere. The Category descriptions are only displayed in the Home Page menus and only for the Original, Pizza D'Lish, and Detroit pizzas.
The sort order controls how the Categories are ordered in Online, POS, and the Home Page menus.
Search by:
Users can search by Item Name or Category. Enter a few characters of the Category or Item you are searching for.
Because there are only 177 Items, I just click the Search button to display all Items and then scroll to the desired item. The items are list in the Category sort order and then by the Item sort order.
- Item Abbreviation - This is universal and changes to the Item Abbreviation changes it everywhere. The abbreviation is not used anywhere though.
- Item Name - This is universal. Any change to the Item Name is populated throughout JOES. It does not matter what store you are accessing in Admin.
- Category Name - Changing a Category name here changes it throughout JOES.
Configuring an Item
The first thing is to add one or more Sizes to an Item.
Double click the Item name that needs to be configured. Right click the word Sizes to “Add a new item size.” Then enter the name of the size chosen by the E.D. and click Save. Click the plus sign to the left of the word Sizes to view the Sizes that are already present.
Configure Size
Right click on the Size name.
- Edit the size name - Click this to change the size name. This will change the size name throughout JOES in every store every instance.
- Edit this size's configuration - This must be clicked and configured for the size to be In-Stock at the store that is selected. Changes here affect only that Size at that store and do not affect other stores or Sizes.
- Size Price - The price of the size if delivered. It is possible to set a delivered and a pick-up price for each size. The delivered price is the price shown for the item in all menus. When setting the Stock Status to Out of stock! for a Size that will no longer be on the menu, set this price to 0. That will stop it from appearing as an Out-of-stock reminder at the top of the OIC for that store.
- Pickup Price - A size must have a pick-up price. At most stores this is the same as the Size Price.
- Max Price - This is an old pricing method where one can set a Max Price for an item. This is in use for a few Sizes at a few stores. It allows customers to add toppings without charge after the Max Price is reached.
- Taxable - Whether or an item is taxable or not.
- Stock Status - Setting a Size to Out of stock! removes it from all instances in JOES until it is put back in stock. Owners can change the Stock Status of any Size in the OIC.
- Available Online - There are many Sizes that are meant to only be available to POS users. Setting Available Online to “No” makes the Size only available to POS users. It appears on no menus.
- Allow Half Topping - This is set to “Yes” for Sizes like pizzas where you will allow customers to order ½ & ½ toppings.
- Toppings Required - The number of toppings that must be selected by the customer to add the Size to the cart.
- Free Extra Toppings - The total number of free toppings included in the price of the size. This does not include the default toppings that may be on the size. A Sticky Fingers has 0 Free Extra Toppings. [Right now, a CYO has one and a Custom Pizza D'Lish has 3.]
- Substitutions Allowed - The number of default toppings that can be swapped for other toppings on that size.
- Max Toppings (Soft) - This setting is related to Max Price setting. When there is a Max Price setting, the number of toppings over the soft topping limit, are charged for. If not using Max Price for this Item Size set the Max Topping (Soft) to match the Max Topping (Hard) this avoids an error that happens when a user switches the size of an item in POS.
- Max Toppings (Hard) - The maximum number of toppings that can be selected for that Size.
- Extra Toppings Cost - The cost of added toppings for that Size.
- Oct Cheese Weight - An arbitrary estimate of the number of ounces of cheese that should have been used on the Size. These amounts are compiled in the Mozzarella Usage Guess Report.
- Copy settings from one size to this one - This is used for things like Signature pizzas. If the sizes have a similar configuration with only the price being different or a few ancillary changes, use this tool to save time setting up the new Sizes.
Toppings
Clicking on the plus sign to the left of the size opens the Toppings and Ancillary menus.
Clicking the plus sign to the left of Toppings expands the Toppings menu.
It opens to the Toppings Categories list.
Clicking the plus sign to the left of the Category opens the list of available toppings for that Category.
There is an important key to understanding this menu.
- Black dot to left of Topping - Topping is Disabled for this Item Size. This Topping does not exist for this Item Size in the database.
- Green dot to left of Topping - Topping is Available for the customer to add this to the Item Size.
- Yellow dot to left of Topping - Topping is temporarily Unavailable due to request from store. It must be made Available by means of a database query and returned to Green dot before it can be Disabled with this tool.
- Bold - Topping is a default Topping on that Item Size and is included in the price of the Size.
Right click on a Topping to change it.
- Enable this topping for this size.
- This will appear when you right click on a Topping that is disabled. Enabling it will make available as a choice on that size and put the green dot to the left of it.
- Modify the settings for this topping for this size.
- Default Status
- True - It is a default Topping and will be included in the price of the Size.
- False - A customer can add it to the size. This will increase the price of the size if the Toppings count is greater than the included Topping Setting.
- Topping Amount - Setting multiple Topping amounts like on a Pepperoni Deluxe allows a customer to remove or substitute one of the 3 instances of Pepperoni.
- None - Adding the Topping creates a single instance of the topping and counts as one Topping.
- Whole (Single) - Adding the Topping creates a single instance of the topping and counts as one Topping.
- Double - Adding the Topping creates two instances of the topping and counts as two Toppings.
- Triple - Adding the Topping creates three instances of the topping and counts as three Toppings.
- Topping Weight - Not in use.
- Price modifier - If one wants to add an additional charge for that Topping only on that size over the normal additional Topping price enter an amount here.
- Allow Subst.
- True - Topping can be substituted on this Size.
- False - Topping cannot be substituted on this Size.
- Disable this topping for this size.
- This Disables the Topping and deletes it from the database items_toppings_assignements table. This will put a black dot to the left of the Topping.
Ancillaries
Clicking the plus sign to the left of Ancillaries expands the Ancillaries menu.
It opens to the Ancillaries Categories list.
An important concept to learn is that there are 2 types of Ancillary Categories. The Ancillary Group Type is set when the Ancillary Category is created.
- Requires One - This Category is for things like Crust type, Sauce type, or flavor. Customers can only choose one Ancillary of that type for that Item Size. A Requires One Ancillary category can be set to enable quantity settings. A full salad has 2 salad dressings. A DME salad has 6. There must be a default choice for all Requires One type Ancillaries. The default can be “None” but there must be a default choice for every Requires One Ancillary Category for that Size.
- Allow Multiple - This Category if for things like Extras on Original pizzas. A customer may want Parmesan, red pepper, or ranch or two of them or all of them or none of them. Do not set a default choice for an Allow Multiple Category.
Right click on an Ancillary Category. There is an option to copy the Ancillary settings from another Item Size to that Ancillary category. This saves time when setting up a new item.
- Category - The category of the Item with the Ancillary options being copied to the Item Size and Ancillary Category being changed.
- Item - The Item name with the Ancillary options being copied.
- Size - The Size name with the Ancillary options being copied.
A Requires One Ancillary Category has another option to “Enable quantity settings for this ancillary category on this item size.” Clicking on that option opens a confirmation window. Clicking yes enables quantities and sets it at 2.
Enabling quantity settings adds 2 new options when right clicking on the Ancillary Category.
- Adjust the quantity for this ancillary category on this item size. - Shows the Quantity of that Ancillary included for that Item Size.
Clicking the plus sign to the left of the Category opens the list of available Ancillaries within that Category.
There is an important key to understanding this menu.
- Black dot to left of Ancillary - Ancillary is Disabled for this Item Size. This Ancillary does not exist for this Item Size in the database.
- Green dot to left of Ancillary - Ancillary is Available for the customer to add this to the Item Size.
- Yellow dot to left of Ancillary - Ancillary is temporarily Unavailable due to request from store. It must be made Available by means of a database query or an update in OIC and returned to a green dot before it can be Disabled with this tool.
- Bold - Ancillary is a default Ancillary on that Item Size and is included in the price of that size.
Right click on the Ancillary name to change it.
- Modify the settings for this ancillary for this size.
- Default Status:
- True - Includes the Ancillary in the price and does not print the default ancillary on the Kitchen/ Make Line ticket.
- False - This is not a default Ancillary for this Item Size.
- Ancillary Price: - The price entered here will be added to the Item Size menu price if the customer selects this ancillary.
- Disable this ancillary for this size. - Disables the Ancillary for this Size. it removes it from the items_ancillaries_assignments table. This will put a black dot to the left of the Ancillary.
